Import items and customers from Excel

How to bring your parts list or customer list into GarageBilling from an Excel or CSV file, using the web app.

If you already keep your parts or customers in Excel, or in a report exported from your accounts software, you can bring them into GarageBilling in one go instead of typing each one. Import works in the web app on a computer. Everything you import then shows in the Android app too, because both use the same account.

Web app only

The Android app does not have import. Sign in at garagebilling.com/login on a computer with the same account you use on your phone.

Import your parts and labour list

Open Bulk import

In the web app, open Inventory and click Bulk import.

Upload your file

Drag your file into the box, or click to choose it. GarageBilling reads CSV and Excel (.xlsx, .xls) files. Not sure how to lay out the file? Click Download Template for a sample with the right columns.

Check the columns

GarageBilling matches your file's columns to its own fields, such as the item name, price, stock, GST rate and category, and shows how sure it is of each match. Check the matches and the preview of your first rows.

Under Add all items to category, type a category name (such as "Imported") so you can find and review the new items together. If your file has its own category column, that is used for each item instead.

Import

Click Import. The button shows how many items will be added. Items with the same name as one already in your inventory are skipped, so nothing is added twice.

Files exported from accounts software, such as a Tally stock report, often have a title and company details above the real column headings. GarageBilling looks past those lines to find the item rows.

Import your customers

  1. In the web app, open Customers and click Import.
  2. Upload a CSV or Excel file. GarageBilling looks for a Name column (required), and optionally Phone (10 digits), Address and Notes. Headings like "Full Name", "Mobile" or "WhatsApp" are recognised too.
  3. Check the preview. It shows how many rows are ready to import and how many will be skipped.
  4. Click Import (the button shows how many customers), then Done.

Customers without a phone number can be imported. A customer whose phone number is already saved is skipped.

After importing

  • Open Inventory and check the prices on the new items. An item with no price asks you for one when you add it to a bill.
  • Imported customers show in the Customers tab on your phone too. Add their vehicles the first time you bill them.
